Same designs, different format. Pick whichever fits your workflow.
Excel is the right choice when you want the totals calculated for you and already use Microsoft Office. Every template above has formulas for the line totals, subtotal, tax, and total. You enter quantities and prices, Excel does the arithmetic.
Line totals, subtotal, tax, and total update as you type.
Gridlines are hidden and borders sit only where an invoice needs them, so the PDF looks like a document, not a spreadsheet.
Opens in Excel for Windows and Mac, LibreOffice, Apple Numbers, and Google Sheets.
Use Save As for the next invoice, or duplicate the sheet to keep all invoices in one workbook.
Set the print area, then File > Save As > PDF. Every design fits the page width.
Business name, address, and contact details for both parties.
A sequential number, the issue date, and a due date, for example 14 or 30 days later.
Description, quantity, unit price, and amount per item.
Calculated automatically in the Excel and Google Sheets versions, by hand in Word and Google Docs.
Bank details such as IBAN and BIC, accepted payment methods, and payment terms.
PO number, project name, and any custom terms or thank-you note.
Click Download Excel on any template card above. Open the .xlsx file in Microsoft Excel, LibreOffice, or Apple Numbers.
Replace the sample business name and address in the header cells. Use Insert > Pictures to put your logo in place of the sample one.
Enter a description, quantity, and unit price for each line. The amount column multiplies them. To add a line, insert a row between two item rows (right-click the row number, then Insert) and copy the amount formula from the row above. The subtotal includes the new row automatically.
The rate sits in the label of the tax line, for example VAT (20%). Change the number in the brackets and the tax and total recalculate. Some designs have a tax column instead, where you enter the rate per line.
Set the print area first: select the invoice cells, then Page Layout > Print Area > Set Print Area. Then File > Save As and choose PDF as the file format. Email the PDF to your client and keep the .xlsx for later changes.
The free invoice skill fills any of these 12 designs from a short description. It asks for the details an EU invoice needs, such as the service date and VAT IDs, and can turn the PDF into a ZUGFeRD e-invoice.
Excel and Google Sheets both calculate invoice totals for you. The difference is where the file lives and how you work on it with others.

Excel's built-in gallery has a few invoice templates. The free templates above come in 12 designs, with all the standard fields and formulas for the subtotal, tax, and total. Free .xlsx download, no signup.
Download an Excel invoice template above, open the .xlsx file, and replace the sample business and client details. Fill in the line items, check the tax rate, then save the invoice as a PDF and email it to your client.
Click the sample logo and delete it. Then go to Insert > Pictures, pick your logo file, and drag the corner handles to size it.
Most designs read the rate from the label of the tax line, for example VAT (20%) or Tax (10%). Change the number and the tax amount and total update. Designs with a tax column take the rate per line. The formula needs Excel for Microsoft 365, Excel 2024, or Excel for the web. In older versions the tax cell shows an error, so enter the tax amount by hand there.
Set the print area first: select the invoice cells, then Page Layout > Print Area > Set Print Area. Then File > Save As and choose PDF as the file format. With the print area set, the PDF contains only the invoice, without empty cells around it.
Use the Google Sheets version of the same design instead. It has the same layout with its own formulas and opens with one click on Make a copy. Uploading the .xlsx to Drive also works, but check the tax cell afterwards.
Right-click the row number of a line item and choose Insert. Excel adds an empty row, and the subtotal includes it. Copy the amount formula from the row above into the new row, or drag the fill handle down.
