What every invoice should include

  • Your business details

Name, address, and contact details, so your client knows who's billing them and whom to ask if something is off.

  • Your client's details

Name and billing address of the person or company you're invoicing.

  • VAT IDs

Your VAT ID, or your tax number if you don't have one. For reverse charge and other cross-border sales in the EU, add your client's VAT ID too.

  • Invoice number, issue date, and service date

A unique, sequential number, the date you issue the invoice, and the date or period of the service. EU law requires all three. If a template has no line for the service date, add one.

  • Due date and payment terms

When the invoice is due, for example 14 or 30 days after the issue date. Put the due date where your client sees it first.

  • Itemized line items

One row per service or product, with description, quantity, unit price, and line total.

  • Subtotal, tax, and total

The net amount, the tax rate and tax amount, and the gross total. If you don't charge VAT, for example under a small-business exemption, state the reason instead of a rate.

  • Payment details

Your IBAN and BIC, or another way to pay you, such as a PayPal or Stripe link.

  • Optional extras

A PO number for business clients, a project name for recurring work, and a short thank-you.

How to use a free invoice template

  1. Pick a design and format

Find a design in the gallery and pick the format you already work in. Google Docs and Word are documents and give you more control over the layout. Google Sheets and Excel calculate the subtotal, tax, and total as you type.

  2. Add your details

Replace the sample business name, address, and logo with your own. Add your client's details, a sequential invoice number, the issue date, the service date, and the items or services you're billing. Specific descriptions help whoever approves the invoice: 'Landing page redesign, 14 hours' is clearer than 'design work'.

  3. Set tax, totals, and payment terms

Enter your VAT rate, or sales tax if you're in the US. Set your payment terms, for example 14 or 30 days, and add how you want to be paid: your IBAN and BIC, or a PayPal or Stripe link if you accept those.

  4. Save as PDF and send

Export to PDF (File > Download > PDF in Google Docs and Sheets, File > Save As > PDF in Word and Excel) and email it to your client. A PDF can't be edited by accident, so the totals arrive the way you sent them.

Let Claude or ChatGPT fill in a template

The free invoice skill fills any of these 12 designs from a short description. It asks for the details an EU invoice needs, such as the service date and VAT IDs, and can turn the PDF into a ZUGFeRD e-invoice.

Which format should I pick?

The same designs come in all four formats. They differ in how you edit them and whether totals calculate themselves.

Frequently asked questions

Are these invoice templates really free?

Yes. Every template is free to download and use, for personal and commercial invoices. No signup, no watermark, and no trial that bills you later. The templates work in Google Docs, Google Sheets, Word, and Excel.

Which invoice template format should I pick: Google Docs, Sheets, Word, or Excel?

If you want subtotals and tax to calculate themselves, pick Google Sheets or Excel. If you want a document-style layout with more control over the typography, pick Google Docs or Word. The Google formats run in any browser. Word and Excel need Microsoft Office or a free alternative such as LibreOffice.

Do I need to sign up to use these invoice templates?

No. The Word and Excel templates download as .docx and .xlsx files, without an account. The Google Docs and Google Sheets versions need a Google account, because Google asks you to sign in before it copies a file to your Drive. We never email you and never ask for a credit card.

Can I use these professional invoice templates for my business legally?

Yes. The templates are free for personal and commercial use. Whether the finished invoice meets the law is up to you: the business name, VAT ID or tax number, and payment terms have to match your business and your country. In the EU, an invoice also needs a sequential number and the service date.

What if I invoice the same clients every month?

Save your filled-in template as a base file and copy it each month. Update the dates, the invoice number, and any line items that changed. If you also want help with the invoices you receive, Billpal imports them from your email, takes photos of paper receipts via WhatsApp, and exports everything for your accounting software.

Do these printable invoice templates work on Mac and PC?

Yes. The Google Docs and Google Sheets versions work in any browser. The Word and Excel files open in Microsoft Office for Mac and Windows, LibreOffice, Apple Pages and Numbers, and Google Drive. The templates use Arial, Times New Roman, or Courier New. Apps without these fonts use one with the same character widths, so the layout holds. Ten designs are set to A4, Two Tables and Vibrant Base to US Letter.

Can I add my logo and brand colors to a downloadable invoice template?

Yes. Every template has room for a logo in the header. Use Insert > Image in Google Docs and Sheets, or Insert > Pictures in Word and Excel. You can recolor table headers, accent lines, and the total row with the normal formatting tools, without rebuilding the layout.

How do I send a finished invoice to my client?

Export the invoice to PDF (File > Download > PDF in Google Docs and Sheets, File > Save As > PDF in Word and Excel) and attach it to an email. Your client gets a clean, printable invoice that can't be edited by accident.

Can I turn one of these templates into an e-invoice?

Not with the template alone, which gives you a regular PDF. A ZUGFeRD e-invoice is a PDF with the invoice data embedded in a machine-readable format. The free invoice skill for Claude and ChatGPT creates one: it fills in one of these templates and adds the data.
